All bookings for the hire of HPC Chigwell facilities shall be made using the appropriate booking form online or in person or over the phone. The person by whom the booking is made must be over 18 years of age and shall be considered the ‘Customer’ or ‘Hirer’. Names of everyone using the nets needs to be provided at the time of booking and all users will be required to sign in upon arrival at the Centre. Additional users will not be permitted on the day, unless after consultation with the HPC Chigwell manager, at its discretion will allow this. If bookings are made on behalf of an organisation or a club, that organisation or club must be named at the booking process and shall be considered the Customer and shall be jointly and severally liable along with the person who makes the booking.

The hours of facility hire must include preparation and clear out time.

To confirm your booking, full payment must be made at the time of booking.

Once your booking has been made and you have received your confirmation email – no refunds or credits will be given if any cancellations take place within 48 hours of the activity commencing. If a cancellation is made with more than 48 hours’ notice then you will be given credit to use at the Centre, you will not be given a monetary refund.

HPC reserves the right to refuse application for the use of the facilities or to attend coaching courses, or to refuse any application without being required to give any reason for such refusal.

It is the responsibility of the Hirer to ensure all external, non-HPC coaches must hold a valid DBS certificate and first aid training certificate. For block bookings, copies of which will need to be provided to HPC Chigwell at the time of booking. Failure to do so will result in the booking being cancelled. Parents are advised not to leave their children unattended at the centre if using an external, non-HPC coach.

Public Liability. Clubs, Schools, Universities, Corporations & Associations etc must produce a valid copy of their Public Liability Insurance document (£5,000,000 cover) prior to the start date of hire. Failure to do so may prevent the use of HPC Chigwell facilities

The Hirer shall not use the centre for any purpose other than that specified on the booking confirmation email.

Reasonable care must be taken to protect any surface or equipment that is likely to suffer damage as a result of hire.

It is the responsibility of the Customer to ensure that all minors (under the age of 18) are wearing and use the appropriate protective equipment. U18’s must wear cricket helmets when using the net facilities with hard cricket balls.

HPC accepts no responsibility for accidents or injuries which occur under parental, club or other hiring of our facilities.

There are various notices/rules in the centre and net lanes for the Hirer’s and others’ health and safety. HPC accepts no responsibility for accidents or injuries if these rules are not adhered to.

If the premises are not fully vacated by the time given for the function to end, a surcharge will be made for the extra time.

The Hirer shall agree to repay to HPC all expenses which may be incurred by them in cleaning, repairing, making good or replacing any part of HPC buildings or the contents thereof which may be lost, damaged or destroyed in consequence of the Hirer’s use of HPC’s facilities.

The Hirer shall indemnify HPC from and against all costs, claims, expenses or damage incurred or suffered by HPC arising either directly or indirectly out of the use of the Hirer of the hired facility and equipment of HPC.

When hiring a bowling machine, you receive 24 balls for the Adults’ machine or 12 balls for the Kids machine. You will need to pay a £5 deposit at the start of the session and return the balls at the end of the session. This deposit will be returned to you when you return all the balls.

The Hirer shall not carry out any alteration to the buildings or fittings, nor shall the Hirer fix or make fixings for any apparatus, equipment or decoration without prior consent from HPC.

Hirers must observe the maximum capacity in net lanes. The maximum lane capacity in each lane is 4 people. With consultation with the HPC Chigwell manager, at its discretion, allow more people per lane at the Hirer’s own risk.

The maximum Indoor Cricket Centre capacity is 25 people.

The Hirer is responsible for ensuring that all persons utilising the facilities hired are properly attired for the purpose for which the hall is hired. Footwear that has been worn outside, or which is likely to dirty or mark the floor must not be worn. Spikes are prohibited. The decision of HPC or duly authorised personnel as to whether attire or footwear is considered suitable shall be final and binding.

All persons and Hirers wishing to use the bowling machine must receive training from HPC staff prior to hire. The minimum age for use of the bowling machine is 18. All persons under the age of 18 must be supervised by a qualified coach. HPC reserves the right to refuse use of the bowling machine. It is the hirer’s responsibility to come and ask a member of staff for the appropriate training should they need it.

No consumption of food in the net lanes. Only plastic sports bottles allowed in the playing arena and net lanes.

No photographic apparatus of any kind whatsoever shall be brought into HPC for commercial or private purposes without the express written permission of HPC.

Photographic equipment is continuously used at HPC Chigwell. All Customers consent to the use of being filmed for these purposes and consent to the use of any of this content to be used by HPC for marketing purposes.

Session Playback Videos purchased by the Customer will be sent to the Customer via email within 7 days of the session taking place. USB sticks can be purchased for an additional charge but must be left with a member of staff and formatted each time the Video is saved.

HPC does not accept liability for loss damage to any vehicle or its contents whilst parked on the HPC Chigwell premises.

In case of fire, Hirers should familiarise themselves with and inform their participants and spectators of the escape routes and the location of the fire extinguishers, fire alarms, exit doors and rendezvous points. It is the responsibility of Hirers to seek this information from HPC Chigwell staff prior to making use of the facility.

No animals are permitted on the premises other than a dog belonging to a registered blind person.
